What we store

Account data: your email address, your organization, and an audit log of account actions (sign-up, invites, removals). Display data: serial numbers, configuration, status reports, and a lifecycle history of every display — that history is the product. Optional screenshots: only when your organization enables them per display; they are stored privately and deleted automatically after the retention window (default 60 days). Academy certificates: if you pass a knowledge check and claim a certificate, we store your name and a hash of the verify link — never the link itself. Your email address is stored only if you explicitly tick the box offered at that moment; otherwise it is used once, to send that one certificate, and then never kept. No account is created either way — the Academy has none.

Who can see what

The platform is built on strict separation: your organization sees its own displays and those of its partner organizations below it — never sideways, never upward. Secrets you enter (WiFi passwords, CMS tokens) are delivered to your displays and are scrubbed from historical records when a display changes owner. Screenshots and the Time capsule are visible only to the organization managing the display.

What we don't do

We do not sell data, do not use it for advertising, and do not read your screens beyond what the features you enable require. Platform staff access customer environments only for support or safety, and such actions are recorded in the same audit trail you can see.

Where it lives

Data is hosted with our infrastructure providers: Supabase for data (EU — Frankfurt, Germany) and Vercel for the application (functions pinned to the Frankfurt region). Error monitoring runs on Sentry. A current subprocessor list is available on request.

Your rights

You can export your display history from the platform (Activity page). To correct or delete account data, or to close your organization entirely, contact maarten@spacecowboys.cloud— deletion requests are honored within 30 days, except records we must keep (e.g. invoices, and chain-of-custody entries that belong to other organizations' displays).
